A visitor who chooses to access resources (free or otherwise) via means of registration is referred to as a “Subscriber.” We also refer to a ‘Subscriber” as “Customer.”

Org. Culture bites adheres to the Australian Privacy Principles governing the management of personal information. This Privacy Policy outlines how we collect and manage personal information that we may obtain about you.

This Privacy Policy governs your access to and use of OrgCultureBites.Com, including any content, functionality and services offered on or through OrgCultureBites.com (the “Website”), whether as a visitor, guest or a registered user

This Privacy Policy also explains how Org. Culture Bites collects information about you, how this is managed and processed in ways that are compliant with local laws as well as upholding our promise to protect your data.

Please read this privacy Policy before you start to use the website. When you begin to use the website, or when you agree to any Terms of Use if this option is made available to you, these actions are deemed as acceptance or agreement to be bound by this Privacy Policy.

If you do not agree to the Privacy Policy, please do not access or use the website as information about you may be obtained.

Furthermore, if you are under 18 years of age, please do not register, interact publicly, provide any information about yourself or make any purchases, as we do not knowingly wish to obtain or have personal information about you avail ably publicly on this site.

Information that is generally collected:

When you access the Org. Culture Bites website, when you email, text or message via other electronic forms, we will have access to certain information about you.

We are the sole owners of this information collected on this website and we only access or use information you voluntarily provide us (see further information on this below.) We will not rent or sell this information to anyone.

Automatic Data Collection: We have an ongoing commitment to ensuring a positive customer experience and improving the way customers navigate through our website and services. We are able to monitor this through collecting automatic data about your browsing and activity through technology. The information we collect does not include personal information and is used for statistical purposes only.

When you interact with our website and services, we collect data about your usage, such as what pages you visit, when you access them and what you click on. Technology such as Google Analytics collects information about your equipment, browsing activity, patterns, location and communications from your computer to our website. We are also able to

Use of Cookies & Technology equivalents (Server Logs & Page Tags, Pixels and other tracking technology)

Cookies are small text files which may be stored on your computer or mobile device. They often include an anonymous unique identifier.

Log data are log files that record data each time a device accesses our servers and may include the originating IP address.

Social media pixels, features or widgets may also be used by us, to allow third party social media sites (such as Facebook and LinkedIn) to track visitors on external websites, in order to tailor advertising messages that users see whilst visiting the social media website. If you interact with us via social media, we reserve the right to use these pixels in accordance with the relevant social media site policies.

We use Cookies to help us improve your access to our site and identify repeat visitors to our site. An example of this is when we use a cookie to identify you, the visitor or registered user, so that you do not have to re-enter information on our site when required, thereby saving you time or making your experience more efficient. Cookies can also enable us to track and target the interests of our visitors and users which we would use to help us enhance the overall experience on our site.

 Survey respondents

At times, we may offer voluntary surveys online for the purpose of research and insight generation. Please note that providing your contact details is voluntary. Your details will remain private and will not be disclosed to any third parties. These details will be treated in the same way that other voluntary information you provide to us is managed (see above).

Where you are a Customer of our business, we refer to the individual person or entity that has contracted Org.Culture Bites to allow you to use our products and services.

Org.Culture Bites offers customers product and service options that involve surveys for the purpose of that customer’s requirement to gather information from a Respondent. A respondent is the person who accesses our products or services to answer surveys conducted by a Customer. (For example, an employee of a Customer entity will be an employee respondent to the contracted customer survey).

At the time of participating in any contracted customer survey, respondents will be provided with a Notice of Confidentiality. This will outline the confidentiality and anonymity parameters available to the respondent as agreed with the Customer entity, before answering the survey.

 Email correspondence information

When any visitor or registered customer chooses to interact with us in the form of an email or text message, we may retain the content of these messages in our technology systems along with any of our responses. We provide the same protections for electronic communications as we employ in the collection and management of information obtained online, via our website, via mail or via telephone.

We are committed to protecting your email, phone numbers or personal information. We will not disclose this information for the purpose of selling, renting or leasing subscription or visitor lists to any third parties, except as allowed by the applicable law.

We reserve the right to email you directly in accordance with the law. As such, all emails you may receive from us will state who the email is from, and provide clear information about how to contact the sender.

All emails will also include information about how to remove yourself from a mailing list so that you no longer receive email communication from us if you choose not to. These will typically be instructions on how to ‘opt out’ of or ‘unsubscribe’ from receiving communications from us (and relevant associated partners providing products or services) at any time.

Information about your subscription account and payments:

Subscription or registration details: When you or an authorised party registers an account for you, we collect your name, company name, email address, password and other information. If you choose to register or login using a third party account (such as Facebook, Google or the authorising Customer’s SSO provider), the authentication of your login details are handled by that third party and we only collect the information you expressly agree to share with us at the time you give permission to link your Org. Culture Bites account with the third party account.

Customer data: When you use our services, we will store your particular information that you have expressly provided and other information related to the products and services you have used.

Billing details: If you use a credit card for billing, our credit card processor may collect information such as the cardholder’s name, billing address, email address, credit card number, expiry date and credit card security code.

Account settings: You may be able to set or update various preferences and personal details on your account settings page or your profile. For example, your name, email address, default language or time zone. Please see guidance previously outlined for more information about the cookies we use in our online Services.

How we secure and protect your information and transmissions

We take your privacy seriously and all information held about you on our technology systems is managed via commercially reasonable methods and generally accepted standards to ensure its security and protection. This includes using reputable third party vendors and standard security protocols across server and internet providers.

Our servers are based in Australia and server security includes encryption of transmitted files to ensure extra protection.

We do not recommend sending sensitive information or credit card details via email, primarily due to the potential transmission via public networks that may not be secure.

Some of the information you may enter on our website may also be transmitted securely via a generally accepted secure medium called Secure Sockets Layer, or SSL.

We also use vendors and software that monitor network traffic to identify visitors, usage, system performance or problems. We also use these to assess for unauthorised attempts to upload, change information to act in ways that are intended to deliberately cause damage.

Please note that transmitting information over the internet is never completely secure, despite our best efforts and we cannot absolutely guarantee that all of your personal information is completely secure in all situations.

In order to further protect your information, we recommend you use sophisticated passwords for logging in to our services and keep this information secret.

Why we collect personal information and how we use it:

The information we obtain about you depends on the way(s) you interact with us, our services and our systems. We collect information about you as it is reasonable and necessary to understand what we need to do and how we can best provide the products and services you expect from us. We seek to record your details and support your participation in the

activities and resources you select to access. We also use this information to carry out contracted activities and adequately provide customer service.

We will use your information to enforce our contracts or adhere to our policies if we believe them to be in potential breach. This includes potentially illegal, undesirable or abusive activities or to investigate complaints about you or made by you.

We will also use your information to measure and analyse user behaviour,  track your preferences, keep you informed about our products and services and related content that may be of interest to you. At times, we may make other products and services available to our customers and prospective customers.

Whilst visitors are not required to provide information, access to resources via sanctioned downloads or subscriptions will require registration and provision of your information.

If you ‘opt in,’ register or subscribe to use, participate in or receive any free resources or purchase our products and services, we will automatically enroll you to receive free email newsletters.

If you do not wish to receive our free newsletters, you can ‘opt out’ or unsubscribe at any time as instructed on the email sent to you.

 Third party advertisements: From time to time we may make available to you information and offers for services available via third parties. Such information may be in the form of advertisement displays that have been tailored to your personal characteristics, interests and activities. At times, we may in exchange, receive commission to be paid to us by such third parties. Should you choose to take up any offer or take part in such promotion through your active consent; the third parties will receive your information.

As part of our marketing initiatives, we may combine information about you from third party sources with information we hold about you to create a user profile. This is intended to help us focus our efforts on providing information that is relevant to you and offer a more personalized customer experience.

There are options available to you when exercising your rights to privacy, including ‘opting out,’ unsubscribing, updating your account details and settings, requesting access to information about whether we hold or process your information in order for you to correct or delete it.

European Users

If you are a visitor only (unregistered or with no subscription) we will only process your personal information if it enables us to pursue a legitimate interest of improving our products, services or features.

If you live in the European Union and ‘opt in,’ register or subscribe to receive any free resources or purchase our products and services, we will only enroll you to receive our free newsletter if you actively consent to this option.

Your rights under European Union General Data Protection Regulations include that:

  • We will retain any information you choose to provide to us until the earlier of: (a) you asking us to delete the information, (b) our decision to cease using our existing data providers, or (c) the Company decides that the value in retaining the data is outweighed by the costs of retaining it.
  • You have the right to request access to your data that the Company stores and the rights to either rectify or erase your personal data.
  • You have the right to seek restrictions on the processing of your data.
  • You have the right to object to the processing of your data and the right to the portability of your data.
  • To the extent that you provided consent to the Company’s processing of your personal data, you have the right to withdraw that consent at any time, without affecting the lawfulness of processing based upon consent that occurred prior to your withdrawal of consent.
  • You have the right to lodge a complaint with a supervisory authority that has jurisdiction over issues related to the General Data Protection Regulation.
  • We require only the information that is reasonably required to enter into a contract with you. We will not require you to provide consent for any unnecessary processing as a condition of entering into a contract with us.

Legally acceptable disclosure of your information.

We firmly uphold the privacy principles that protect our customers and will not sell or transfer information collected about you unlawfully. We may disclose your personal information to our subsidiaries, affiliates and service providers for the purpose of monitoring, maintaining and providing our services to you.

We may also occasionally hire other companies to provide services on our behalf, including but not limited to handling customer support enquiries, processing transactions or customer – related logistics/handling. Those companies will be permitted to obtain only the personal information they require to deliver the specific service.

Situations in which we may lawfully be required to disclose your information may also include:

  • Response to legal requests such as subpoenas, warrants or mandatory information requests by the courts or government entities.
  • When required to enforce our legal rights, terms or agreements via lawyers or collection agencies
  • In the event of a merger, divesture, restructure, reorganisation, dissolution or other sale or transfer of company assets or business, we may provide your information to successors or purchaser

Anonymity and pseudonyms

All visitors and subscribers have the option of not identifying themselves when interacting with us. If lawful and practicable, you are welcome to contact us without disclosing your name, remaining anonymous, or by using a pseudonym.

In most cases, however, it will be difficult for us to adequately respond, provide you with our Products and Services if you do not provide us with your real name and contact details (primarily email).

Access to your information:

As explained above, we will share your personal information with third parties in ways that are lawful, to provide you with our products and services. In order to do this, we may need to disclose your personal information with our staff or service providers we use to operate our business – such as software providers, hosting services, email service providers, system monitoring services, customer support services, suppliers and website analytics. In all instances, these providers have authorisation to only use your personal information as it is reasonable and necessary for us to provide our products and services to you.

Prior to disclosing any personal information to third parties, we will sign confidentiality and data processing agreements with them to ensure they maintain confidentiality, have privacy and security standards in place to protect your personal information.
